Claxby Village Hall Management Committee
Draft Minutes of meeting held September 16th 2024 – 2.00pm
Present - David & Jenny Lofthouse, John and Diane Clark, Lana Abrey-Sims, Geraldine Blake.
1. Apologies for Absence - Julia Lindley-Baker
2. Review and approve minutes of meeting held on October 16th 2023
Minutes from previous meeting reviewed and approved
4. Finances
Lloyds Deposit £27.27 + awaiting VAT refund £5000, Current £3242.98 Strawberry Cream Tea £123.70, Picnic in the Park £38.01
5. Review and approve material and supplier for village hall tablecloths
Samples of cotton and polycotton material received and compared.
Resolved to purchase polycotton material @£3.50 per metre from Oh Sew Crafty sufficient for one round and eight oblong tablecloths. GB to confirm length of material required, her son has kindly volunteered to make them. JL to order.
6. Review and approve future housekeeping in the hall
Resolved to organise additional hall cleaning approximately every six weeks by members of the Village HallManagement Committee. JL to organise. JC has obtained a number of wipes suitable for cleaning the village hall shutters.
7. Review and approve future events
A talk by Age Concern provisionally booked for October 23rd 2024. GB to confirm. Decision made to consult villagers for suggestions for future events, examples:-
Fire service for advice on smoke alarms and fire safety, Autism awareness, Hearing loss, Games afternoon.
Village afternoon teas to start on second Wednesday each month starting in October. Resolved to discuss with the organiser how the funds raised will be allocated.
Resolved to hold a “Christmas” raffle either at the December afternoon tea or an event in January
8. Review and approve car parking arrangements
Resolved to carry out survey of villagers on opening times/dates of car park gate to be included in a village newsletter.
Resolved to investigate installation of a sign indicating the car park entrance.
